But if you've only ever booked through platforms, the process can feel opaque: how do you find the real website, what's a normal deposit, when do you pay the rest? Here is the whole flow, step by step, written by a team that takes direct bookings every day.
Step 1 — Find the villa's official website
Most direct bookings start from a villa you spotted somewhere else — a platform listing, Instagram, a friend's photos. Search the villa's exact name plus "Bali" and look for its own domain, not another listing site. The official site is where you'll find the direct rate, the real photo set and, crucially, the official WhatsApp number. Verify it's genuinely theirs: the branding should match their social accounts, and the villa should appear on Google Maps in the location the site claims, with reviews from real guests over time. If you can't find any official site at all, the villa may only sell through platforms — in which case, book it there. Step 2 — Open the conversation on WhatsApp
WhatsApp is how villa business is done in Bali — faster than email and with a written record. A good first message includes your dates (or rough window), number of guests, and anything non-standard: a toddler, a surfboard, a need for a proper workspace. Then pay attention to the reply. Speed matters less than substance: a professional team answers your actual questions, states availability plainly, and tells you the direct rate and what it includes without dancing around. Vague answers to direct questions before you've paid are the best free preview you'll ever get of the service after.
Step 3 — Confirm dates, rate and what's included
Before money moves, three things need to be unambiguous in writing: the exact dates, the total rate, and what it includes — housekeeping frequency, breakfast or not, airport pickup, taxes. This is also the moment to ask for a live video walkthrough if you have any doubt about the property; legitimate operators do them happily. Step 4 — Pay the deposit (and know what's normal)
The standard pattern: a partial deposit — commonly somewhere between 30 and 50 percent — secures your dates, with the balance due before arrival or at check-in. You should receive a written confirmation stating the villa name and address, dates, total rate and inclusions, deposit received, balance schedule, cancellation terms and an arrival contact. Payment is usually by international bank transfer to a company account, card or payment link; keep the receipts. Walk away from full-prepayment demands to personal accounts, crypto-only requests, or artificial deadlines measured in hours. Real availability pressure exists in high season — but real operators express it by telling you the dates are unconfirmed until deposit, not by threatening you.
Step 5 — Before you fly, and check-in day
A few days out, reconfirm your arrival time and share your flight number — most villas will arrange an airport pickup, which in Bali is worth its weight in gold after a long-haul flight. Ask for the check-in time and the villa's pin location on Google Maps.
